Stoneygate supporting statement alternative format guide

How to record and transcribe your personal statement for the alternative format on the Stoneygate application form.

It is possible for you to transcribe your answer to question 17 directly from audio. You can do this via Microsoft Word or Microsoft Teams. 

Before you begin your recording, please ensure that you find a quiet room where you won’t be interrupted and can prevent any loud noises from distorting the recording. Once you have completed your answers, listen back to the recording and if you are not happy, please re-record.  

Your recording should be no longer than 10 minutes in length and no more than 2000 words. 

Once you have your transcript, please upload the document to question 18 of the application form. We do not require the audio recording. 

Microsoft Word

Step 1 

Open a blank Word document. 

Step 2 

Click the 'Dictate' drop-down in the toolbar, and select 'Transcribe', this will automatically add the audio.

Step 3 

Select 'Start recording' or upload your audio if you have used another device to record your answers.

Step 4 

Once you have completed your recording, press 'Save and transcribe now'. This can take a few moments to process. The audio recording will automatically save to your OneDrive. 

Step 5 

When the transcript is showing in the right-hand side panel, there will be a blue button which says ‘Add to document’ with a drop-down.

You can select here to add the text to the Word document as just the text, text with speakers, text with a time stamp or text with speakers and a time stamp. Please select just text. 

Step 6 

The text will then appear on the left-hand side in the body of the Word document. You can then save this in the usual way and send it to us by attaching it to your application.   

Microsoft Teams 

*Please note that this function can only be performed on the desktop version of Teams, the transcript function is not available on the mobile app* 

Step 1

Open Microsoft Teams and click ‘Calendar’.

Select ‘Meet now’.

You will then have the option to ‘Start meeting’.

Before starting the meeting change the ‘Meeting name’ to [your name, student ID] Stoneygate Personal Statement.

Now click ‘Start meeting’

Step 4

Click ‘Join now’. Please remember to leave your camera off.

Step 5

You will receive the message to ‘Copy the meeting’ link or ‘Add participants’. You do not need to do this.

Step 6

Along the top ribbon, you will see the option for ‘More’. Choose the option for ‘Record and transcribe’.

Select ‘Start transcribing’ and then confirm the language.

Step 7

You should see the transcript box has opened on the right-hand side. You can now start your personal statement.

Step 8

When you have finished your statement click ‘Leave’

Step 9

On the menu bar, select ‘Chat’. You will now see your transcript under your name as the most recent chat.

Click the document and choose the option to ‘Download’. This will now open as a Word document.

Please review the document to ensure you are happy with the outcome.

Once you have your transcript, please upload the Word document to question 18 of the application form. We do not require the audio recording.
